Online payments are optional and off until you turn them on. Nothing about how your club already collects money has to change first.

    Connect your club

    One button in Settings. Have your EIN, the club’s bank details, and photo ID for whoever is responsible for the account.

    Send the invoice

    Open a sponsor’s commitment and email their invoice. It carries your club’s registered legal name, not ours.

    The sponsor pays

    They get a secure payment page. Card or bank transfer, no account to create, and partial payments are fine.

    Balances update themselves

    The money settles into your account and Pactgrove records the payment against that sponsor on its own.

Pactgrove issues invoices through Lalo Docs, which collects card and bank payments through Stripe. Your club is the merchant of record the whole way through, so the sponsor relationship and the money both stay yours.

Sponsors pay by credit card or bank transfer (ACH) on a secure hosted page. No account, no login, no PDF to print and mail back.

The money is yours from the start

Funds go directly into your club’s own bank account on the processor’s normal payout schedule. Pactgrove never holds, routes, or touches your money.

Reconciliation you don’t do

Payments taken online post themselves against the right sponsor and balance. If something is corrected or removed on the payment side, Pactgrove catches it and puts the balance back.

Deposits and partial payments

A sponsor can pay half now and half after the season starts. Every payment lands on the same balance and the amount due follows along.

Overdue, before it’s a problem

Due dates and past-due status stay current on their own, and Pactgrove surfaces the sponsors worth a nudge today rather than at the end of the season.

Replies come back to you

When a sponsor hits reply on their invoice, the message reaches your club’s inbox. No shared mailbox nobody reads, and no vendor in the middle of your conversation.

Invoices that look like your club

Your registered legal name and details print on the sponsor’s invoice and receipt. A business can hand it straight to their bookkeeper.

Cheques still work

Nothing forces a sponsor online. Cash, cheques, and transfers get recorded the same way they always have, on the same balance as the card payments.

Nothing extra to buy or install

The invoicing account is set up for your club behind the scenes. There is no second product to shop for, subscribe to, or log into separately.

The lowest fee is the one nobody adds.

Plenty of fundraising platforms take a percentage, or bury a “suggested tip” in the sponsor’s checkout. Pactgrove takes neither. The only fee on a sponsorship is the payment processor’s own rate, billed to your club by Stripe.

Bank transfer costs a fraction of a card

ACH is dramatically cheaper than card processing on a large sponsorship, and it is offered right alongside the card option on the sponsor’s payment page. On a $5,000 banner sponsor, that difference is real money for your program.

No sponsor-facing tip prompt

Your sponsor is asked for the amount on the invoice. They are not asked to top it up to cover a platform, and they are not shown a default tip they have to decline.

Turn it off and owe nothing

A club that never connects online payments still sends invoices and tracks every balance. Processing fees only exist when a sponsor actually pays online.

The questions treasurers actually ask.

Does Pactgrove take a percentage of our sponsorships?
No. There is no platform fee and no cut of what you raise, and your sponsors are never shown a tip prompt at checkout. When a sponsor pays online, the payment processor charges your club its standard rate directly — that is the entire cost of taking a payment.
Where does the money actually go?
Into your club’s own bank account, through a payment account in your club’s own name. Your club is the merchant of record: you own the funds, the receipts, and any refund or dispute. Pactgrove never holds or routes your money, which is also why we can’t take a cut of it.
What do we need to set it up?
Your club’s registered legal name and a contact email in Settings, then one button. The payment processor’s signup asks for your EIN, the club’s bank account details, and photo ID for whoever is responsible for the account — about 20 minutes in total. Card payments switch on once the processor finishes verifying the details, and Pactgrove shows you when that happens.
Do sponsors need an account to pay?
No. The sponsor gets their invoice by email with a link to a secure payment page. They pay by card or bank transfer without creating anything, and they can pay part of the balance now and the rest later.
Can we still take cheques and cash?
Yes, and most clubs do both. A cheque gets recorded by hand the way it always has been, an online payment records itself, and both land on the same sponsor balance. Online payments are optional — a club that never turns them on still sends invoices and tracks every balance.
When is the QuickBooks integration coming?
It’s next on the roadmap rather than shipped. Pactgrove’s invoicing was deliberately built so the underlying provider can be swapped without changing anything a club does day to day, and QuickBooks is the next provider being wired in. Mention it when you request access and we’ll tell you as soon as it’s live.
Do we have to reconcile online payments by hand?
No. A payment made online is matched to the right sponsor and balance automatically, and it appears on that sponsor’s timeline. If a payment is later corrected or removed on the invoicing side, Pactgrove notices and restores the balance rather than leaving your books quietly wrong.
